Description SUMMARY
To provide customer service, membership communications distribution, coordinate sales campaigns and
administrative support. Maintains overall efficiency and consistency in the operation of membership
projects and service programs. Provides writing/drafting of reports, forms, and correspondence to the
Membership Director as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned)
ADMINISTRATIVE
Organizes and coordinates meeting rooms for monthly/quarterly orientation meetings as well as
other meetings as needed.
Prepares packets/handouts, promotional materials and amenities as requested.
Prepares membership certificates, prospect and new member kits for distribution.
Handles the set-up and on-boarding of new members as well as processing of cancelled
members.
Processes work request forms for payment of invoices.
Communicates with members, HVCB Membership committee and vendors as needed. May be
required to attend various committee meetings and/or events.
Coordinates all travel arrangements including transportation (air/land), travel pre-approval reports
and expense reports for the Director, Membership and members of the membership department
for their out of town travel for various HVCB/Island Chapter meetings and events.
TECHNICAL SUPPORT
Responsible for the updating of content in the membership database as needed.
Responsible for the uploading of content and news updates in the online member news center,
Kahe Wale.
Responsible for coordinating and monitoring of all communications (eblasts, newsletter, etc.) to
members.
Assist the Director, Membership in developing and administering the Annual Member Survey.
REPORTS
Prepares all monthly/quarterly sales statistical and financial summary reports by the designated
deadlines
Queries data reports from Membership database for use by membership team as needed.
EDUCATION and/or EXPERIENCE
2-3 years experience in customer services and/or administration.
Experience in the hospitality, tourism or customer service industries. Membership services is a
plus.
Expertise in customer service and strong interpersonal communication skills required.
Keen attention to detail. Excellent organizational skills, able to prioritize tasks, and ability to
coordinate multiple tasks and meet strict deadlines.
Ability to write reports and business correspondence.
Ability to effectively present information and respond to questions from manager, vendors,
members and the general public.
Ability to perform clerical and administrative tasks, understand and carry out oral and written
instructions, deals with daily office operations/situations, cooperate and collaboratively work well
with others.
Ability to work in a fast paced environment.
Must have an outgoing and friendly personality.
Professional, team-oriented demeanor.
Technical/Computer Skills
Proficient in Microsoft Office (e.g. Word, Excel, PowerPoint, and Outlook)
PHYSICAL DEMANDS
The employee must occasionally lift and/or move up to 25 pounds.
